Studio Policies
These terms are designed to protect the client experience, the studio, the building, and the production schedule. Final checkout, invoice, or written project terms may add booking-specific details.
Your reserved time includes all arrival, load-in, setup, shooting, resets, breakdown, cleanup, and load-out. Productions should book enough time for the full footprint of the session. Early arrival is not guaranteed unless approved in writing.
Overtime is subject to studio availability and approval. If a booking runs past the reserved end time, additional time may be billed in studio-approved increments at the active hourly rate plus any applicable production support, staffing, equipment, rooftop, event, or add-on fees.
Clients should request cancellations or rescheduling as early as possible. Refund eligibility may vary by booking type, project scope, and notice window. Deposits, custom production work, staffing holds, special equipment rentals, and same-day or short-notice bookings may be non-refundable once confirmed.
Clients are responsible for returning the studio, furniture, props, equipment, restrooms, common areas, and rooftop access areas to the condition they were provided in. Trash, food, drinks, wardrobe, product packaging, and production materials must be removed or placed in approved disposal areas before departure.
The booking client is responsible for damage to studio property, furniture, walls, floors, backdrops, plants, decor, lighting, audio gear, video equipment, building areas, rooftop areas, or items used during the booking. Excess cleaning, repainting, repairs, replacement costs, missing items, and building fines may be billed to the client.
All productions must operate safely and professionally. Clients are responsible for their cast, crew, guests, vendors, equipment, cables, load-in activity, and production conduct. Hazardous setups, stunts, weapons, open flames, smoke, fog, glitter, confetti, messy effects, liquids, animals, loud playback, or unusual equipment require written approval before the booking.
Rooftop access is available only when included in the selected booking or approved as an add-on. Rooftop use may be affected by weather, daylight, building access, noise, guest count, safety, and neighboring properties. Clients must follow all rooftop instructions and may not move beyond approved areas.
Meetings, events, activations, screenings, workshops, and gatherings must stay within the approved guest count, approved use, and booked time. Event clients are responsible for guest conduct, vendor coordination, setup, cleanup, music volume, food and beverage handling, and any required approvals.
Included equipment depends on the booked space and package. Cameras, audio, lighting support, technicians, editing, social clips, rooftop access, additional microphones, teleprompter, storage, or production crew may require add-ons or custom approval. Add-ons are subject to availability and should be requested in advance.
Clients are responsible for backing up their own media unless file transfer, media storage, editing, or post-production delivery is included in the booking scope. Editing timelines, revisions, formats, file delivery, and final deliverables should be confirmed in writing before production or checkout.
A booking is not confirmed until the required deposit or full payment has been completed and the studio accepts the booking. Remaining balances, overtime, damages, extra cleaning, added services, or post-production work may be invoiced separately.
Vibrant Eye Studios reserves the right to stop or refuse bookings that are unsafe, disruptive, unlawful, abusive, materially different from the approved use, or damaging to the studio, building, neighbors, staff, guests, or brand.
